Team Overview
We are looking for an Office Coordinator & Executive Assistant to join our New York office.
As a member of the Global Admin Team, you will serve as the first point of contact for clients and guests visiting the NY office while also providing high-quality administrative support to the Senior Executive Assistant that directly supports members of the Executive Leadership Team. This hybrid role is ideal for someone who enjoys a structured, professional environment and excels at managing multiple priorities with calm and confidence.
You'll ensure the office runs smoothly and contribute to leadership support, helping to coordinate schedules, meetings, and key communications.
Role Responsibilities
- Welcome and host visitors, clients, and vendors to create a polished and professional front-of-house experience.
- Answer and route incoming phone calls and emails with efficiency and professionalism.
- Manage guest registration, coordinate building access, and support ID badge setup for new hires.
- Provide calendar management for executive stakeholders, often across multiple time zones.
- Assist in the preparation of meeting materials such as agendas, slide decks, and briefing documents.
- Coordinate with vendors and internal teams to maintain office supplies, cleanliness, and facilities needs.
- Work closely with the Global Admin Team to schedule meetings and manage logistics via Microsoft Outlook.
- Help organize office events, team meetings, and client-facing sessions with a high level of detail and care.
- Manage mail, packages, and courier services to ensure timely and secure delivery.
- Take initiative to anticipate needs, identify process improvements, and implement practical solutions.
- Support occasional confidential and time-sensitive projects in coordination with HR and senior leaders.
Required Skills
- 8+ years of experience in office coordination, reception, or executive administrative support roles.
- Demonstrates excellent written and verbal communication skills with a professional presence.
- Shows strong organizational skills with the ability to multitask, prioritize, and remain detail-oriented.
- Confidently uses Microsoft Office 365 (especially Outlook, Word, Excel, and PowerPoint); experience with Adobe Acrobat is a plus.
- Applies sound judgement, discretion, and a proactive approach to tasks and challenges.
- Enjoys working on-site five days a week at our New York office and being the face of the team.
