Based in Princeton, NJ, Duchesnay USA is the American office of Duchesnay Pharmaceutical Group, a French-Canadian pharmaceutical company based in Blainville, Canada. Reporting to the Executive Vice President and Product Manager, this trusted and key member of the team will coordinate general office administration tasks required to keep the office running smoothly and will help with some marketing activities. This role is hybrid with office presence required 3 days per week in Princeton, NJ.
Essential Duties and Responsibilities:
Office administration
- Manage Office needs including office supply budget, requests and maintenance.
- Ensure that the office is well-maintained, organized, and secure.
- Schedule and/or attend management meetings ( prepare agenda, take meeting minutes, etc. ).
- Prepare correspondences, reports, presentations, and manage the Executive Vice President’s schedule.
- Be the main point of contact for executed contracts filing and keeping them up to date.
- Prepare and edit correspondence, reports, and presentations.
- Responsible for company credit cards reporting, invoices coding, reports extraction, etc..
- Be the IT liaison for hardware, software, internet and phone systems.
- Respond to ad hoc requests from different internal departments such as marketing or commercial.
- Assist with establishing and coordinating the implementation of company policies and procedures.
- Support employees by facilitating interdepartmental communications and interactions between internal and external parties.
- Assist with special projects, such as process improvements and budget development.
Marketing activities
- Organize and periodically attend Marketing Conferences and other events, including logistics, materials preparation, paperwork generation, and coordination.
- Assist in developing and contributing to marketing activities and work with outside agencies and vendors to successfuly execute on these activities.
- Assist with the development and management of social media campaigns across the product portfolio.
- Contribute to the creation and to the updates of marketing materials across the product portfolio.
- Follow the marketing activities through the Medical, Legal, and Regulatory (MLR) process to ensure compliance with FDA rules and regulations and assist with FDA submissions and manage filing process.

Required Qualifications:
- College degree, required.
- 2 years of experience in a similar role is preferred.
- Experience in the pharmaceutical industry is an asset.
- Thorough knowledge of Microsoft Office (Outlook, Power Point, Excel).
- Basic math abilities and an understanding of basic financial concepts.
- Proficiency with office technology and equipment, including fax machines, printers, copiers, scanners, and computers.
