The Inbound Logistics Coordinator will provide support to external and internal clients and international vendors. The coordinator will work with the internal database systems to track production orders, arrival dates, and inventory levels. The coordinator will communicate changes proactively to internal clients.

Key Responsibilities

Purchase Order Management & Procurement of Consumable Supplies

• Enter Purchase Orders in the system for all vendors (finished product, components, and supplies)
• Source Shipping Quotes, book and arrange pickup, and monitor shipments for all purchase orders
• Update Status, ETA and tracking details of shipments from vendors directly in NetSuite
• Update internal reporting to ensure dates, quantities, and statuses are up to date
• Weekly PO Report sent to all printers
• Work cross-functionally with accounting and finance to reconcile vendor invoices and purchase orders
• Maintain consistent communication with vendors regarding readiness of product and any other information that impacts production
• Work cross-functionally with production and product development teams
• Work closely with the Manager to manage consumables inventory, sourcing, quoting, and re-orders
• Work with demand planning to obtain the product splits in a timely manner

Oversee Inbound Management

• Transmit ASNs to all warehouse once PO has shipped and prior to arrival
• Schedule and monitor arrival and delivery of POs with freight-forwarders and each warehouse
• Ensure POs are delivered on schedule and marked as received systemically by the warehouse and in the ERP
• Analyze inbound discrepancies and work on reconciling them systemically
• Implement product embargo for launches where needed
• Ensure frequent touch bases are held with Freight Forwarders for the status of shipments and maintaining accurate data
• Weekly ASN report sent to Warehouses

Supply Chain Management

• Stock Transfers between warehouses
• Enter Transfer Orders and monitor shipping & receiving with the warehouses
• Book & arrange shipping with the forwarder
• Review inventory discrepancies from cycle count analysis, investigate them, and resolve them systemically with the support of the manager
• Implement QC check with the Manager

Item Master. Data Management

• Work cross-functionally to get the necessary details of new products that need to be created within systems
• Responsible for item creation within the system and for data management
• Share item master data with internal and external partners
• Maintain consistency and accuracy of master data across all business systems

Additional Skills

• 2-3 years of Logistics Coordinator experience
• Proficiency in Excel and OMS/WMS/ERP systems
• NetSuite knowledge is a plus
• Ability to quickly learn and apply system capabilities
• Ability to identify trends and solve problems
• Demonstrated ability to anticipate and communicate potential issues
• Organized with strong attention to detail
• Demonstrated ability to communicate regularly across teams as well as with vendors and business contacts in a courteous and professional manner
