We seek a highly organized and proactive Administrative Assistant to oversee our daily administrative operations. The ideal candidate will ensure the smooth running of the office and help improve company procedures and day-to-day operations .

 

Responsibilities:

 · Manage incoming and outgoing correspondence (email, phone, mail)

· Organize office layout and maintain a pleasant working environment

· Assist in onboarding new employees and maintain employee folders

· Create Job Project folders for outside crews

· Process and file incoming mail

· Maintain Job/ Project cost sheets – Log receipts, update with labor costing, etc.

· Create/ Maintain project estimate folders

· Type proposals for potential projects

· Respond to vendor emails regarding billing and processing invoices

· Support the Office Manager and management with office duties/ correspondence

· Handle travel arrangements for crews and senior staff

 

The Ideal Candidate will possess the following Qualities/ Skills:

• 5 + years’ experience in office management
• Strong understanding of Microsoft software suite – Word, Excel, Outlook
• Detail-oriented and self-motivated

· Education level: High School

· Salary Range: $ 35 Per Hour – 30 Hours per week

· Years of Experience: 5+

· Hours: Office hours are 9:00- 5:00 (M-F) . Hours flexible

· Vacation: 1 Week (Paid)
