Administrative Coordinator (Contract to Permanent)

Job Type: Contract to Permanent
Pay: $27-$31/hr.
Position Overview
Our client is seeking a highly organized and adaptable Administrative Coordinator to join our team on a contract-to-permanent basis. This fast-paced, high-volume role requires a detail-oriented individual who can thrive in a hybrid work environment, with flexibility to commute to the office in Alameda Corporate Office. The ideal candidate will support various administrative tasks and play a key role in ensuring the success of live events, employee onboarding, and other organizational initiatives.
Key Responsibilities
- New Hire Orientation:
- Serve as the producer for virtual New Hire Orientation sessions, managing Zoom meetings with 50+ participants.
- Event Support:
- Provide on-site support for live events at the corporate office, ensuring seamless execution of logistics.
- Coordinate lunch orders and other event-related needs for in-person gatherings.
- Materials Management:
- Handle CPI workbook ordering via phone and manage inventory levels.
- Oversee the printing and shipping of materials to support 15+ trainers and subject matter experts (SMEs).
- Administrative Operations:
- Monitor and manage the team inbox, ensuring timely responses and task delegation.
- Track and monitor enrollment numbers in Relias, working collaboratively with leads or training coordinators as needed.
Qualifications
- Experience:
- Previous experience in a fast-paced, high-volume administrative role is required.
- Experience supporting virtual and live events is highly desirable.
- Skills:
- Proficient in Zoom for managing large virtual meetings.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant tools.
- Personal Attributes:
- Flexible and adaptable, with the ability to commute to the Alameda Corporate Office as needed.
- Detail-oriented and proactive, with a strong sense of ownership and accountability.
- Team player with a positive attitude and a commitment to delivering high-quality results.
